Reliance Center Office Manager

 

Job Description

The Office Manager will coordinate operations and serve as front office reception in our Lewiston location. The Office Manager will also coordinate classes and help facilitate classes when needed. administrate office procedures and assist with compliance administration. This is a part-time position, the hours consisting of Tuesday through Friday 9:00 am-5:00 pm. There will be times when additional hours are required, such as during our spring Fundraising Banquet and our Hope on the Farm summer event preparation.

Major Responsibilities:

  • To answer the phones, retrieve voicemails, and schedule clients. This occasionally means sharing information on pregnancy options, our services, and how we can help.

  • Data entry and/or Word Processing: Enters accurate database information. Processes labels, merge documents, tables, correspondence, manuals, charts, newsletters, and other documents.

  • To greet the clients, and walk them through the check-in process.

  • To maintain adequate client-related resources

  • To maintain and protect timely and useful records of all logs, client visits, services rendered, interview outcomes, and client follow-ups, and to do all client data entry in a timely manner.

  • To maintain and protect with strict confidentiality important correspondence, computer files, and referral information.

  • To assist in keeping the office organized, cleaned, and maintained.

  • To schedule, teach, and facilitate classes when needed (all material and training is provided)

  • To assist the CEO with tasks and help manage their schedule

  • Assist in mailings. Processes mailings including bulk mailings and mailing orders. (Produces and affixes labels, copy materials, insert materials, prepares for an appropriate form of mailing, ensures timely mailing.)

  • Manage schedule for all staff and volunteers

  • Weekly basic financial duties such as creating deposits, etc.

  • Opening and closing of the center

  • To perform other duties as determined by the CEO

Job Requirements:

  • High school graduate or GED

  • 2 years of office experience or training required including one year of experience in an administrative support role. Appropriate education may be accepted in place of experience.

  • Accurate word processing/data entry skills including accurate typing speed of 50 words per minute required; experience with Microsoft software (Word, Access, and Excel) strongly preferred.

  • Good interpersonal skills. Ability and desire to work cooperatively and professionally with staff and all constituencies. Treat others with respect, honesty, and integrity, working towards Christian (scripture-based) peace and unity.

  • Emotional Intelligence - In this role, you will be working with many people and emotional intelligence and people skills are a must and a huge part of that is reading people’s emotional cues and body language.

  • Professional and pleasant business communication skills.

  • Good verbal and written communication skills.

  • Ability to handle details accurately and timely.

  • Ability to multitask -- organize multiple projects and set priorities.

  • Ability to analyze information and materials and interpret and apply applicable regulations/guidelines.

  • Impeccable Organization 

  • Good judgment and ability to make routine decisions based on the interpretation and application of established guidelines and information. Willingness to seek assistance when problems or situations are beyond the responsibility and knowledge of the person/position.

  • Proficiency or propensity to learn to operate various office and presentation equipment and software (if included in position responsibilities).

  • A willingness and desire to work as a team to serve affiliates and other constituencies, including other staff.

  • Ability and willingness to demonstrate a commitment to the organization’s mission, vision, core operational values, and core beliefs in the execution of position responsibilities.

  • A willingness to share the gospel of Jesus Christ by word and example to encourage affiliates, staff, and others and to contribute to an office environment conducive to supporting the organization’s Christian ministry of life.
